There’s always a learning curve when implementing a new technology into your workflow, and the Iowa Land Records e-submission application is no different. We’ve compiled a list of the top 10 issues customers face when e-submitting so that you can learn and have smoother submission process from start to finish.
1. Why is my document status still “In Progress”?
An “In Progress” status means that your group has not yet been submitted to a county recorder. To submit the group, click the “Submit Group” button. When the group has been submitted to the recorder, the status will update to display “Ready for Recorder.” The group will no longer be visible on your e-submission home page.
2. I submitted documents to the wrong county. What now?
One you select the “Submit Group” button your documents are submitted to the county recorder. There is no way for an e-submission user to stop the document from being processed using the application. The quickest way to stop the document from being processed is to call the county recorder’s office directly and ask a reorder to decline your documents. Once the group is declined, it will be returned to you and will display on your e-submission home page. You can then edit and select the correct county to resubmit to.
3. How can I check on the status of my document after it is submitted?
Once a user submits a document group to a county recorder, they can no longer see that group on his or her e-submission home page. To check the status of a recently submitted group of documents, simply enter search criteria to locate the document and view the status of the submission.
4. My documents are being rejected due to poor image quality. How can I fix this?
First, check your scanner settings to ensure that you are scanning in black and white, not grayscale. Then make sure the scanning resolution is set to 300 DPI. If you continue to experience document rejection issues due to poor image quality, contact a systems specialist for assistance.
5. A member of our team is out of the office and his document group has been rejected. Can another member of our team take action?
The e-submission user who created and submitted the group is the owner. Only the group’s owner has access to the group to make corrections and resubmit the group. In addition, only the group’s owner can delete a group they previously created.
6. How can I replace a document in my group?
The best way to make corrections to a document is to simply “replace” the document image in your group. It may seem tempting to delete the declined document and start all over again, but replacing the document is much simpler.
Login to e-submission and locate the group at the bottom of the home screen. Edit the group by clicking on the pencil icon next to the group to be corrected. On the next screen, click on the pencil next to the document to be edited. On the “Attached Document” tab, choose file, locate the corrected image and click the save button to complete the replacement. Don’t forget to select “Submit Group” to complete the process.

7. How can I delete a document from my group?
If you’ve decided a document is no longer necessary to submit with the group, you can delete it.
Login to e-submission and locate the group on the home screen. Select the pencil icon next to the group that contains the document. In the document view select the pencil icon next to the document you would like to delete. Next click the “Review Tab” and select the delete radio button. Click “Submit” to confirm that you would like to delete. If the group needs to be submitted to the recorder, don’t forget to click the “Submit Group” button.
8. How can I get rid of an abandoned group on my home page?
Login to e-submission and locate the group from the bottom of the home screen. Select the pencil icon next the group that you would like to delete. Use the steps above to delete each document in the group. Once all documents have been deleted, you will be returned to a blank group screen. You can delete the group here.
9. What does the status of “Resubmission” mean?
The document status of “Resubmission” means that the document was returned to you for corrections. You have corrected the document, but you have not yet resubmitted the group back to the county recorder for action. Make sure you click the “Submit Group” button to submit the group back to the county recorder for review.
10. The submit group button does not appear?
Was this group recently rejected? Did you add a new document to the group rather than replacing the rejected document? If you have added a new document to the group rather than replacing, you will need to delete the declined document from the group. Once you remove the rejected document from the group, the “Submit Group” button should appear so you can submit the corrected group to the county recorder.
